Form 8821

Form 8821, Tax Information Authorization

By RepeatForm team

Form 8821 lets the taxpayer authorize someone to inspect or receive confidential tax information for the tax types and years listed. It does not let them represent you. If you re-enter the same designee details for each client, upload a completed 8821 and a blank one, then review before export.

What Form 8821 does (and does not do)

irs.gov says Form 8821 authorizes any individual, corporation, firm, organization or partnership you designate to inspect and/or receive your confidential information, verbally or in writing, for the type of tax and the years or periods listed on the form. The form itself says not to use it to request copies of your tax returns or to authorize someone to represent you. The form is also used to delete or revoke earlier tax information authorizations.

Who signs and how

The taxpayer signs and dates line 6. The instructions say that if a joint return was filed, your spouse must execute their own authorization on a separate Form 8821. If you file by mail or fax, the instructions say the signature must be handwritten: digital, electronic or typed-font signatures are not valid for forms filed by mail or fax. An electronic signature is only for forms submitted online.

Filing options on irs.gov

irs.gov offers several routes. The IRS page on submitting Forms 2848 and 8821 online describes uploading the form through its online submission process, and Tax Pro Account for real-time processing of individual authorizations. The instructions also describe fax and mail, with a Where To File chart. Use the route the IRS instructions give for your situation; this page does not replace them.

Reusing designee details across clients

This is for a preparer, bookkeeper or lender who types the same designee name, address, CAF number, PTIN and phone into a new 8821 for each client. Upload an 8821 you completed and a blank one. RepeatForm carries across the answers that match in both copies, you review them, then you preview the PDF before you export.

What carries over

  • ✓The designee's name, address, CAF number, PTIN, phone and fax, where they match in both copies. This is the part you repeat for every client
  • ✓The taxpayer's name, address and other details can carry too, but they belong to the previous client. Replace every one
  • ✓Anything else that matches in both copies, except the boxes the IRS prints for its own use. Check the tax types and years yourself

What the review step does

  • ✓On this form the IRS prints some boxes for its own use. RepeatForm skips those and shows you a review notice before you export, so you see what was and was not carried. It does not fill them.

What never carries over

  • ✓The taxpayer. Name, address, taxpayer identification number and phone belong to the previous client. Replace every one.
  • ✓Tax information, form numbers, years or periods and specific matters (line 3), and the specific-use box (line 4). These differ for each client and each request.
  • ✓Retention or revocation choices (line 5). Decide them again each time; the instructions say prior authorizations are revoked unless you attach copies and check the box.
  • ✓A signature or date. The PDF has no signature field, and its only date field is the IRS "Received by" box, not the signer's date. Sign and date line 6 by hand or in the IRS online process.
  • ✓The IRS-use boxes.

If the IRS form has a new edition

The IRS renames fields between editions, so carry-over is partial. Check every field after a new edition.

To authorize someone to represent you, the IRS form is the 2848.

A different IRS request form has its own page: 4506-C.

A transcript request has its own page: 4506-T.

Good to know

  • ✓You review every carried-over answer. RepeatForm does not guarantee the form is correct.
  • ✓RepeatForm does not give tax or legal advice, does not submit the form to the IRS, and cannot tell you which tax types, years or designees to list.
  • ✓It works with digital, text-selectable PDFs only. Scans, photos and handwriting are not supported.
  • ✓Same or recent editions work best. If the form changed you may get fewer matches, so check the preview carefully.

FAQ

FAQ

What is Form 8821 used for?+

irs.gov says it authorizes any individual, corporation, firm, organization or partnership you designate to inspect and/or receive your confidential information for the type of tax and the years or periods listed. It is also used to delete or revoke prior authorizations.

Does Form 8821 let someone represent me before the IRS?+

No. The form says not to use it to authorize someone to represent you. Representation is a different IRS form, 2848.

Can I file Form 8821 online?+

irs.gov describes online submission, along with fax and mail. Pick the route the instructions give; processing can differ by method.

Can I sign Form 8821 electronically?+

The instructions say a handwritten signature is required for forms filed by mail or fax; an electronic signature is for forms submitted online.

What is a CAF number?+

The instructions ask for the designee's nine-digit CAF number. If the designee has none, enter "NONE" and the IRS will issue one directly to the designee.

Which edition does this page work with?+

The Rev. 01-2021 form. If the IRS publishes a newer one, get it from irs.gov and check every field.
